Weekly Construction Coordination Kit cover

Use it in your industry

  • Prepare a drainage-installation look-ahead with material and access dependencies.
  • Assign owners to open RFIs, planned observations and delayed submittals.
  • Hand off a work area with current drawings, field records and open questions.

Inside your download

Version 1.2 · 4 guided worksheets · 20 editable text fields, plus instructions, a fictional worked example, and a single-business license.

  • Weekly construction look-ahead

Record the planned work area, the information needed to proceed and the person who confirms each prerequisite. This worksheet does not authorize work or replace the project schedule.

Prompts include: Week beginning / project / coordinator; Work areas: station, grid, structure or asset / planned activities; Three weekly outcomes / completion evidence / responsible parties; Crew or inspection coverage / access, traffic, utility and material constraints; Work deferred / reason / next planning date.

  • Field coordination action register

Use one record per coordination action. Keep a pending RFI, review or delivery visible until a sourced response resolves the dependency.

Prompts include: Action ID / project / work area / related RFI or submittal; Next coordination action / evidence needed to close; Responsible party / due date / source of date; Status: planned, in progress, awaiting response or closed; Blocker / affected activity / escalation contact / next check-in.

  • Construction coordination meeting record

Distinguish discussion from an authorized decision. Capture drawing revisions, inspection requests and who will distribute the meeting record.

Prompts include: Meeting date / project / attendees and roles; Planned activities / drawing revisions / open material and access questions; Decisions / authorized decision source / separate change review needed; Actions / owners / agreed response dates; Unresolved inspection or handoff questions / distribution / next meeting.

  • Crew or inspection handoff

Record the last verified status and unresolved questions. A handoff acknowledgement is not acceptance of the work or authorization to cover it.

Prompts include: Work area / outgoing and incoming representative / handoff time; Last observed work / date / related daily report; Drawing revision / open RFI, submittal, ticket and photo references; Remaining work / access constraints / upcoming observation requests; Receiving acknowledgement / unanswered questions / next responsible person.

A fictional industry example

Fictional example: Cedar Creek Road drainage improvements, week of October 5, 2026. The weekly look-ahead identifies storm-drain installation from station 12+00 to 14+00. Action A-01 asks the project coordinator to obtain a written response to RFI-007 about a utility crossing before the affected activity is scheduled. The materials coordinator checks delivery ticket D-014 against the current submittal reference. Inspection coverage for the planned observation is recorded as requested, not confirmed. Friday’s handoff links the daily report and open questions; no work is marked approved merely because the meeting record was sent.
