Built for: Construction coordinators, material recordkeepers and inspection-support teams.

Submittal & Material Delivery Coordination Kit cover

Use it in your industry

  • Connect storm-drain material deliveries to current submittal revisions.
  • Track resubmission actions and the reviewer’s stated material status.
  • Record missing certificates, observed delivery condition and the party notified.

Inside your download

Version 1.2 · 3 guided worksheets · 18 editable text fields, plus instructions, a fictional worked example, and a single-business license.

  • Submittal planning

Use the status stated by the authorized reviewer. Keep planned, submitted and reviewed dates distinct.

Prompts include: Project / submittal ID / package description; Specification section / drawing / revision; Supplier / preparer / responsible coordinator; Required-on-site date / source / lead-time assumption; Planned submission / actual submission / transmittal reference; Reviewer / response due date / dependencies.

  • Review and revision record

Keep superseded references visible and link each resubmission to its predecessor. Do not translate an ambiguous review stamp into approval.

Prompts include: Submittal ID / revision / prior revision; Review response / date / document reference; Reviewer’s stated status / conditions; Resubmission actions / owner / due date; Current revision distributed to / date; Outstanding restrictions / next review.

  • Delivery record

Record what was observed and where supporting documents are retained. Follow project procedures for concerns and disposition.

Prompts include: Project / delivery ID / date / time / location; Supplier / ticket / purchase reference / vehicle reference if needed; Material description / quantity / units as documented; Related submittal ID / revision / certificates / batch references; Observed condition / missing records / photographs; Reported to / date / storage location / disposition reference.

A fictional industry example

Fictional example: For the Cedar Creek drainage project, delivery D-014 lists 24 storm-drain fittings and identifies their documented size and units. The coordinator links the delivery ticket to submittal S-021 revision 2 and records that the listed material certificate is missing. The record identifies the designated storage area, photo references and project representative notified. It does not state that the fittings are accepted because they arrived or because a prior submittal revision was reviewed.

How the files work

Download and extract the ZIP. Open START-HERE.html in a current desktop browser with JavaScript enabled. Complete the fields, choose Save a filled copy, and reopen the downloaded HTML to verify your entries. Keep an untouched original.

Edits are not saved automatically. Print / Save as PDF uses your browser's print dialog; review each page before sharing. No installation, account, or internet is needed after download. Mobile file saving varies by browser; desktop use is recommended.

What is not included

No Excel, Word, or pre-made PDF files, spreadsheet formulas, attached-file storage, cloud sync, integrations, automated reminders, AI, or future updates are included. These are documentation and planning aids. They do not provide engineering services, inspection, certification, acceptance decisions, or technical advice.

Project requirements and assigned responsibilities govern. Store your files under your project's rules; the kit does not encrypt them.
