Project coordination
RFI & Drawing Clarification Kit
Prepare clear requests for missing or conflicting project information and track responses without treating a question as authorization to change the work.
Built for: Civil project coordinators, construction administrators and field representatives handling drawing questions.
Use it in your industry
- Log a discrepancy between drainage-plan and utility-profile revisions.
- Route a field clarification to the designated design reviewer and track the written response.
- Record distribution and separate change-review actions before closing an RFI.
Inside your download
Version 1.2 · 3 guided worksheets · 18 editable text fields, plus instructions, a fictional worked example, and a single-business license.
Clarification intake
Record one issue per entry. Quote the document reference and describe the missing information without proposing an unsupported interpretation.
Prompts include: Project / request ID / prepared by / date; Location / system / affected work; Drawing number / revision / detail / specification section; Observed conflict or missing information / source; Question requiring a response / requested response date / reason; Attachments / photo IDs / related requests.
Response and distribution
Preserve the original response and its source. Route potential scope, cost or schedule effects through the project’s established process.
Prompts include: Request ID / response date / responder / authority; Response reference / revision / exact instruction or clarification; Affected drawings / crews / activities; Potential cost or schedule effect / basis / unknowns; Required review / owner / due date; Distributed to / date / acknowledgement / remaining questions.
Open request review
Review overdue and incomplete items at the agreed interval. A response received is not necessarily a closed issue.
Prompts include: Review date / reviewer / project; Open IDs / responsible parties / due dates; Overdue IDs / escalation recipient / date; Items awaiting attachments or clarification; Verified closures / evidence / closed by / date; Next review date / priority actions.
A fictional industry example
Fictional example: RFI-007 concerns a storm-drain crossing shown at different elevations on drainage plan C-102 revision B and utility profile C-501 revision A. The preparer cites both references, identifies station 12+40 and asks for the governing elevation and authorized written clarification. The request remains open while the designated reviewer responds. A verbal comment is recorded with its source, not as approval. After the written response arrives, the team records its revision, distribution and any separate change-review requirement before affected work is coordinated.
