Quality follow-up and closeout
Punch List & Closeout Evidence Kit
Track observed items from assignment through documented follow-up and organize turnover records. Closure follows the project’s designated authority and requirements.
Built for: Construction closeout coordinators, civil project teams and inspection representatives.
Use it in your industry
- Track an observed drainage-structure label or surface-restoration item.
- Separate reported corrective work from authorized closure.
- Organize contract-required turnover documents and missing-record follow-ups.
Inside your download
Version 1.2 · 3 guided worksheets · 18 editable text fields, plus instructions, a fictional worked example, and a single-business license.
Observed item
Describe the condition, location and source precisely. Keep observations separate from conclusions about compliance.
Prompts include: Project / item ID / date / recorded by; Building / area / grid / station / asset reference; Observed condition / related requirement reference; Photo IDs / report / drawing revision; Assigned party / target date / assignment source; Status / immediate reporting reference / unresolved questions.
Follow-up and closure
A contractor report of completion and an authorized closure are different events. Record both when applicable.
Prompts include: Item ID / reported completion date / source; Work reportedly completed / evidence references; Follow-up date / reviewer / observations; Remaining work / next owner / due date; Closure decision / authorized person / date / source; Reopened reason / date / related item if applicable.
Turnover document check
Use the contract’s actual turnover requirements. This worksheet is not a universal list of required documents.
Prompts include: Project / turnover package ID / reviewer / date; Required record / governing source / responsible party; Received filename / revision / date / storage reference; Completeness questions / missing pages / access issues; Review recipient / status / response reference; Final handoff recipient / acknowledgement / outstanding items.
A fictional industry example
Fictional example: Item P-012 records a missing identification label at drainage structure DS-04, station 18+20, and references photo PH-088. The contractor reports completion on October 9. The coordinator records that report and leaves the item awaiting the designated reviewer’s follow-up. The reviewer later records the evidence and authorized closure reference. A missing maintenance document remains a separate open turnover item; closing the observed item does not close the entire project.
