Construction project setup
Construction Project Kickoff & Scope Kit
Prepare a clear kickoff record for civil engineering, construction coordination and inspection engagements. Connect requested deliverables, project information, reporting responsibilities and proposed changes to their authorized sources. These planning forms are not contracts.
Built for: Civil engineering, construction coordination and inspection teams starting a client engagement.
Use it in your industry
- Confirm requested work areas, visit frequency and report recipients at kickoff.
- Record which party owns design, testing, review and acceptance responsibilities.
- Route a requested increase in visits through the agreed change process.

Version 1.2 · 4 guided worksheets · 16 editable text fields, plus instructions, a fictional worked example, and a single-business license.
Civil or construction project discovery
Attribute client requirements and distinguish known site information from assumptions. Record the source and date of drawings and project requirements.
Prompts include: Project / site location / meeting date / participants and roles; Requested engineering, coordination or inspection support / project stage; Required reports, records or handoffs / recipient / evidence of completion; Drawing and specification inputs / access, schedule and utility questions / unresolved constraints.
Service scope and responsibility boundaries
Use the agreed engagement and governing project documents to confirm responsibilities. A worksheet does not expand a person’s professional authority.
Prompts include: Included work areas, visit frequency and documentation deliverables; Excluded services / testing, design, approvals or acceptance responsibilities assigned elsewhere; Client-supplied drawings, schedules and access arrangements / revisions / due dates; Authorized scope decision maker / report reviewer / distribution and completion requirements.
Construction kickoff agenda
Bring the people responsible for information, access and review. Keep proposed dates and arrangements distinct from confirmed decisions.
Prompts include: Meeting objective / project phase / date / site or remote location; Topics: current documents, work areas, observation requests, reporting and communication; Decisions required / authorized participants / escalation route; Actions / owners / dates / document distribution / next coordination review.
Scope change request record
Document a requested change to visits, deliverables or work areas before changing agreed services. Evaluate technical and contractual implications through the appropriate project process.
Prompts include: Change ID / project / request date / requester and source; Requested work area, visit frequency or deliverable change / reason; Potential effort, schedule and fee effects / assumptions / reviews required; Authorized decision / date / reference / revised scope or instruction distributed.
A fictional industry example
Fictional example: The Harbor Lane resurfacing team requests two scheduled observation visits per week and a weekly photo-and-observation summary. The kickoff record identifies the client’s current drawings, access contact and designated report recipient. Materials testing, traffic-control design and construction acceptance remain with their separately assigned parties. A later request for daily visits is logged as CR-01, with staffing and fee effects awaiting review. The existing engagement remains the planning basis until the authorized written change is recorded.
How the files work

What is not included
No Excel, Word, or pre-made PDF files, spreadsheet formulas, attached-file storage, cloud sync, integrations, automated reminders, AI, or future updates are included. These are documentation and planning aids. They do not provide engineering services, inspection, certification, acceptance decisions, or technical advice.
Project requirements and assigned responsibilities govern. Store your files under your project's rules; the kit does not encrypt them.
