Engineering and construction client coordination
Engineering & Construction Inquiry Follow-Up Kit
Organize incoming civil engineering, construction-support and inspection inquiries, scope questions and agreed follow-ups. Keep requested services and confirmed commitments distinct; the kit does not send messages or qualify professional practice.
Built for: Civil engineering, construction-support and inspection businesses responding to project inquiries.
Use it in your industry
- Clarify requested site coverage, current drawings and reporting requirements.
- Track client-agreed follow-up dates and scope information still needed.
- Hand an authorized engagement and remaining inputs to the project lead.
Inside your download
Version 1.2 · 4 guided worksheets · 16 editable text fields, plus instructions, a fictional worked example, and a single-business license.
Industry service inquiry record
Record only information needed to respond to the incoming inquiry. Follow the sender’s contact preferences and keep confidential project documents in authorized storage.
Prompts include: Inquiry ID / date / source / prospective client and project reference; Requested civil, construction or inspection support / site location / project stage / timing; Contact permission / preferred channel / document-sharing restrictions; Next clarification action / responsible person / agreed response date.
Project fit and scope clarification
Base the review on the requested work and verified firm capabilities. Confirm any required qualifications, project access and engagement terms through the firm’s normal process.
Prompts include: Requested deliverables or visit frequency / firm service fit / qualification check owner; Known scope, access, drawing, schedule and procurement constraints / missing inputs; Questions: work areas, review authority, required reports and existing project forms; Proceed, clarify, refer or decline / recorded reason / decision owner / next review.
Agreed project inquiry follow-up
Example: Thanks for asking about documentation support for [project]. We need [drawing reference or visit requirement] to clarify the requested scope. Would [agreed next step] help? Do not imply that a proposal assigns professional responsibility.
Prompts include: Inquiry ID / last contact / requested service and current status; Helpful scope information or project-input checklist to provide / reference; Agreed follow-up date / preferred channel / person responsible; Response / unresolved technical questions / next step / stop request.
Engagement, pause or closure handoff
A quote or proposal sent is not an awarded engagement. Record the authorized agreement and any conditions before handing off to project delivery.
Prompts include: Inquiry ID / outcome: engaged, paused, referred or closed / date; Agreement or closure evidence / authorized source / conditions still open; Assigned project lead / confirmed scope and reporting inputs / kickoff action; Lessons / permission and retention requirements / records to retain or remove.
A fictional industry example
Fictional example: A municipal contractor asks Northbank Field Services about documenting culvert replacement work at three locations. The coordinator records the project stage and preferred email contact, then requests the current drawing list, expected visit dates and required report format. The firm verifies that the requested services fit its authorized capabilities before offering them. A Friday follow-up is agreed. The inquiry remains awaiting clarification until the client replies; a proposal sent later is not recorded as an awarded engagement. Once written agreement is confirmed, the record hands the scope and open inputs to the project lead.
